If the project is subsequently booked through VTO Elite Hospitality, the project and availability fee will be credited in full against the total amount.

At VTO Elite Hospitality, larger hospitality projects are not dealt with on a flat-rate or non-binding basis. Each enquiry is first recorded in a structured manner, reviewed internally and then processed further once clear project approval has been granted.

Larger group, corporate and hospitality enquiries are assessed in a structured manner by VTO Elite Hospitality. The following information explains the process, the project assessment and the possible project and availability fee.
At what point is an enquiry considered a project enquiry?
An enquiry is regarded as a project enquiry, in particular, if it involves assessing several people, several events, specific hospitality categories, boxes, suites, corporate events or individual requirements. Even groups of around 8 to 10 people may already require a structured project assessment.
Why is a separate project form necessary?
It is not possible to properly assess larger hospitality enquiries based on just a few details. To provide a realistic assessment, we require information regarding the event, group size, date, category, budget and decision-making process. This enables us to determine at an early stage whether an enquiry is feasible in principle.
Does submitting the form automatically create a booking?
No. Submitting a project enquiry does not constitute a booking, reservation or binding confirmation of availability. The details will first be checked internally. A specific availability check or consultation with partners will only take place after the enquiry has been reviewed and, where applicable, the project has been approved.
Why might a project and availability fee be charged?
Extensive enquiries often involve a considerable amount of work in terms of checking and coordination. This includes checking potential quotas, categories, group sizes, placements, sources of supply and response deadlines. The project flat rate provides a binding basis for this.
Is the project flat rate deducted at the time of booking?
Yes. If the project is subsequently booked via VTO Elite Hospitality, the project and availability fee will be credited in full against the total amount. It is not an additional charge upon successful booking, but rather serves as authorisation for the qualifying assessment.
Why is it necessary to provide budget details?
Budget details are essential in order to realistically assess suitable hospitality solutions. Particularly for premium events, prices vary considerably depending on category, availability, demand and group size. Without a budget framework, it is virtually impossible to carry out a targeted assessment.
Can requests be made for several events at the same time?
Yes. This form is specifically designed for use with multiple events, alternative dates or recurring company projects. In this case, please specify as precisely as possible which events, time periods, group sizes and priorities are to be taken into account.
What happens if a request cannot be realistically implemented?
Should a request not be feasible due to budgetary constraints, availability, time constraints or group size, we will inform you accordingly. In such cases, we may not carry out a further project assessment or may recommend alternative terms and conditions.
